VARNEVO Legal
Data Retention and Deletion Policy
You can delete your account yourself in settings or request it at contact@varnevo.com. The periods below reflect actual behaviour in the application.
Last updated: 19 October 2026 · Version: 2026-10-19
1. Deletion Process
- Verification: you must be signed in to your account or we must verify your authority by email.
- If there is a paid subscription it is ended and the subscription at the payment provider is cancelled.
- Uploaded documents, media and invoice files are deleted from storage; asset, maintenance, expense, notification and other operational records are deleted from the database.
- The user account is deleted last; a closing email is sent when the process is complete.
Deletion cannot be undone. We recommend exporting your data from account settings first.
2. Periods
| Data | Deletion / retention period |
|---|---|
| Operational data (assets, maintenance, documents, notifications, etc.) | Deleted within 30 days of the request at most |
| Backups | Deleted data expires from backups within 35 days |
| Invoice/payment records | 10 years (legal retention; restricted access, identifier fields reduced) |
| Consent/acceptance and withdrawal records | 10 years (establishing and defending claims; with hashed identifiers) |
| Security and fraud logs | 365 days |
| Analytics (if consented) | Up to 365 days |
Legal retention records that reach the end of their period are destroyed automatically.
3. Data at Sub-processors
When an account is deleted, the subscription at the payment provider is cancelled. The payment provider keeps transaction and invoice records under its own legal obligations; Planicas LLC also keeps a minimal invoice copy for 10 years. Data at analytics (if consented), email and error-monitoring providers is deleted when their retention periods end; deletion is requested from the provider on request.
4. Other Data Requests
For access, rectification, restriction, objection and portability requests write to contact@varnevo.com; they are answered within 30 days.
